Receptionist cum Office Administrator
The Role Overview
We're looking for a warm, well-organized Receptionist to be the first point of contact for everyone who walks through our door. Based at our Ho Chi Minh City headquarters, you will own front-of-house service and provide day-to-day administrative support that keeps the office running smoothly.
The role blends guest experience with hands-on office administration — welcoming employees, clients, candidates, and visitors, managing the reception area and meeting rooms, and supporting office activities, supplies, and internal coordination.

What You'll Do
Reception & Front-of-House
- Welcome and assist all employees, clients, candidates, and visitors, delivering a professional and friendly first impression.
- Manage the visitor process end to end — registration, badges, host notification, and escorting where required.
- Answer, screen, and route incoming calls and the general company inbox, taking accurate messages and following up.
- Keep the reception area, lobby, and front-of-house spaces tidy, well-presented, and fully stocked at all times.
- Handle incoming and outgoing mail, courier, and delivery services, including logging, distribution, and cost tracking.
Visitor, Client & Candidate Experience
- Prepare for scheduled visits — greeting arrangements, refreshments, name signage, and meeting room readiness.
- Support the recruitment team by welcoming candidates, guiding them to interview rooms, and coordinating with interviewers.
- Serve as the friendly go-to contact for employee front-desk requests, escalating issues to the Office Operations Manager when needed.
Office Administration
- Monitor and replenish office supplies, stationery, printing materials, and pantry stock, raising purchase requests as needed.
- Maintain administrative records and filing — contracts, invoices, delivery notes, name cards, access cards, and internal forms.
- Prepare and process purchase requests, delivery acceptance, and invoice handover to Finance in line with company policy.
- Support new-joiner readiness: workspace setup, stationery kits, access cards, and welcome guidance on the first day.
- Provide general administrative support to the Office Operations team, including data entry, reporting, and internal announcements.
Meeting Rooms & Office Activities
- Manage meeting room bookings, resolve scheduling conflicts, and ensure rooms are clean, set up, and equipped before each meeting.
- Support internal and external meetings, trainings, and workshops with room setup, refreshments, printing, and on-site assistance.
- Assist the Office Operations and P&C team in organizing office events, celebrations, engagement activities, and company trips.
- Help coordinate pantry operations, refreshments, and common-area upkeep so shared spaces stay welcoming and well-stocked.
Facilities, Health & Safety Support
- Report and follow up on office repairs, maintenance, cleaning, and equipment issues with vendors and building management.
- Support access-card administration, security procedures, and visitor safety briefings at the front desk.
- Assist with workplace health, safety, and emergency procedures, including drills, first-aid supplies, and evacuation support.
Who We're Looking For
- Bachelor's degree in Business Administration, Hospitality Management, English Languages, or a related discipline.
- 1+ years of experience as a Receptionist, Front Desk, Administrative Assistant, or in a customer-facing service role; fresh graduates with strong service orientation are welcome.
- Warm, professional presence with excellent communication and interpersonal skills.
- Good spoken and written English, sufficient to welcome and assist international visitors and handle day-to-day correspondence.
- Strong organizational skills and attention to detail, with the ability to handle multiple requests calmly and prioritize effectively.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and common office equipment and collaboration tools.
- Reliable, discreet, and trustworthy when handling confidential information and company records.
- A proactive, service-minded attitude and willingness to support the team beyond the front desk.
