Responsibilities

Admin:

  • Ensure the office environment is tidy and appropriate for working
  • Manage the asset (meeting rooms, inventory, equipment, and merchandise, etc.) and facilities of the office
  • Maintain office supplies
  • Prepare and support for administrative paper
  • Keep an eye on office matters for timely solutions
  • Involve in the onboarding and offboarding process for employees
  • Receive & send correspondences
  • Take charge of the reception, such as receiving phone calls, greeting guests and clients, working with postmen, sorting and distributing posts.
  • Take care of office operations to ensure the office operates smoothly, including seating arrangement, relocation, office decoration, tree management, shipment, and company gifts delivery.
  • Contribute to the team by accomplishing related tasks as needed.
  • Work with third parties on office matters
  • Follow up office contracts such as rental and internet contracts

Purchasing:

  • Work with external vendors to purchase supplies as requested
  • Keep track and evaluate the vendors and distributors
  • Ensure the process is implemented in accordance with ISO
  • Arrange accommodation and transportation for business trips of employees and clients.

Others:

  • Monitor annual & sick leaves, employee’s timesheet, OT, working modes.
  • Take care of benefits related to Sickness, Marriage, Maternity and Bereavement
  • Follow up SI, HI, UI paperwork
  • Take charge of Premium Healthcare Program
  • Responsible for Teambuilding allowance
  • Coordinate with the Engagement team to organize internal and external activities.

Requirements

  • At least 02 years of working experience in the Administrative field.
  • Good command of Microsoft Office (Word, Excel, PowerPoint) and other working tools.
  • Great problem-solving skills.
  • Fluent English (both verbal and written)
  • Proactive and effective self-learning and research skills.
  • Listening, patiently learning, careful and meticulous.
  • Be a great team player
  • Good computer skills in word processing, spreadsheet and record keeping.
